St Martin’s By The Bay Board Meeting October 11, 2008 – Ocean Pines Library Meeting was called to order by Oliver Walsh @ 1:40 PM. Mike Shutt late due to a medical emergency. Minutes were read by Joyce and approved. The discussion then went back to the fence with Joyce asking Ollie what fence we approved at the close of our September meeting .We, the other Board members, did not see the plans given to Ollie by Nancy. My speaking to Nancy later learned they were plans for her fence, so it was Nancy’s fence we approved. Today Ollie suggest that we approve the Bower’s fence on Riverview Dr. based on the fact that it is identical to Nancy’s. Contrary to this Nancy Wright, following the procedure of the By Laws says she would approve the fence contingent on plans being submitted. This was accepted by the Board Treasurer’s Report: Ollie went over some of the figures on current ledger print out. Showing collected dues to date: $60,759. and outstanding $10,153.. Letters have been sent to Owners who are delinquent. Mike arrived and went over some recent events. Last payment for water system upgrade is on hold until he knows for sure that the holding tank has been sand blasted and painted. Cutting cost of trash with one pick up per week now that vacation season is over. Again the fuel cost has increased this charge. On to the vote for re-sealing of the tennis court. The steps to follow for an assessment for a Capital Improvements can be found in Sections 5 and 6 of the Declaration of Covenants for those who want to read this. However, a vote of 60% is required at a special called meeting and votes are done in person. The results of the vote today is 10 ayes and 2 nos. Again it was pointed out that tree cutting is ok by Baramhi and the County. The lease with Craig Pohland for the use and repair of the pool house has been signed and witnessed this date. Mike stated that the pool closure with start on 10/12/08. Joe Connors made motion to adjourn meeting 2nd Craig Constantino
